The scheduled export functionality provides you with a way to automatically share reports with your colleagues, SFTP server, or Google Sheets.
1.1 Access
You can access the export functionality by following the next steps:
Navigate to 'Reports'
Go to a custom report you've created
Click on the download button in the top right of the table
Click on 'create a scheduled export'
1.2 Recurring export settings
When choosing reoccurrence settings, you can choose to export the report on a weekly or daily basis. If choosing the weekly option, you can specify which days you want to include or not.
Note: If you create an export on Monday and schedule it to be sent weekly on Mondays, this report will be shared the next following Monday and not the same day that you create the export.
1.3 Time period and attribution settings
You can then choose a preset of days, related to the data you would like to export. Navigate the options and choose the option that works best for you.
You can also specify if you want the exporting options to have an end date or not. Additionally, you can select the attribution settings that will be used for the shared export.
When viewing your custom reports, you can now quickly glimpse over the export icon and see that there is a badge indicating how many scheduled exports you have created. Clicking on the icon will also give you a quick overview of your existing exports, so you can always remember the ones you have currently scheduled.
1.4 Export Locations
With scheduling options between daily, or weekly, you can choose how to automate your exports into a few different formats:
E-mail: Allowing you to choose the file type (CSV or Excel file) you can add multiple email addresses that you would like to share your reports with. Simply add extra recipients in the form.
SFTP: Every Billy Grace customer has access to a private SFTP server. When this option is selected, we will store data in this location. You can copy the credentials for accessing the SFTP server from the form, and you are ready to go.
Google Sheets: A familiar way to share your data directly into a spreadsheet environment. In order to export in Google sheets successfully, you will need to make sure you have completed the following steps:
Add the Billy Grace service email as an editor in the spreadsheet you would like the data to be shared at (the data will be pasted in a new tab within that file).
Copy and paste your Google Sheet URL into the export form.
Verify access to the file and see if it is connected successfully or not.
Click “Schedule export”.
2. Export schema and other considerations for dashboarding
The export uses a consistent schema that enables you to use the export in your dashboarding. Some additional columns are also provided:
is_integrated_channel. This column is true for rows which are related to your advertising data, and false for others.
is_event_date. This column is true when the data exported is using the Event Date Attribution Mode, and false otherwise.
is_umm. This column is true when the data is related to the UMM model, and false otherwise.
Please take the below considerations into account:
The export is the most granular level possible, namely that of ad (or full UTM) level per day. This allows you to utilize the data to its full potential by adding filters to your dashboards.
If you want to recreate metrics such as ROAS, from the platform, please note that taking an average of the 'ROAS' column is not enough. We calculate the ROAS as SUM(event_value) / SUM(spend). You will have to do the same in your dashboarding software. The same goes for other metrics such as CPA, CPM etc.
The columns is_integrated_channel, is_event_date and is_umm can be used for quick filtering.
When using the Google sheet option, we will overwrite the data in the same sheet every day. When using any of the other options, you will have to ensure you are sharing the latest file correctly each day.
Your export will be sent after your latest job is completed. This might lead to some inconsistencies in the exact time that you receive your export, but ensures that you have the most up-to-date data that matches what you see in the platform. Exports should not arrive later than 9AM, please contact us if that is the case.
